Performing Arts Enrichment Admin Coordinator

Our curriculum is British based and uniquely adapted to the needs of our international and diverse student body. There is an Early Childhood Centre for children aged 1-3. Our Primary School offers a bespoke enquiry-based curriculum. Students in Year 10 & 11 study for (I)GCSE and BTEC courses. Post-16 students can choose from three internationally recognised pre-university examination courses: English A Levels, International Baccalaureate (IB) Diploma or BTEC. Our Enrichment programme is exceptional, offering over 100 activities per week.

The Performing Arts play a major role in BSB, with a vibrant Enrichment (extra-curricular) programme including a variety of clubs and ensembles, specialist instrumental Music and Drama lessons from visiting teachers, as well as many performances and events throughout the year. We are an examination centre for ABRSM and Rock School Music examinations as well as LAMDA (Drama) and hold examination sessions in school on a regular basis. We are seeking a highly skilled, pro-active and efficient administrator to co-ordinate all elements of Performing Arts Enrichment.
Purpose of Role
To coordinate all aspects of the Performing Arts Enrichment programme throughout Primary and Secondary schools, in liaison with the Faculty Leader of Performing Arts.
To act as the initial point of contact for all Performing Arts administration matters, liaising with our visiting Instrumental Music and Drama teachers, external agencies (ABRSM, Rock School, LAMDA and ISTA) parents, students and the whole school Enrichment Team.
To coordinate all logistics and organisation of Performing Arts (Music and Drama) performances.
Responsible to: The Faculty Leader Performance & the Arts
Responsibilities:
- Logistics, organisation, communications and publicity for all Performing Arts activities and events for the whole school (in liaison with the Faculty Leader of Performing Arts, the Department Leader of Drama and the Enrichment Team.)
- Coordination of our 23 visiting Instrumental Music teachers to create and maintain a timetable of approximately 400 lessons per week.
- Coordination of Performing Arts facilities and resources, including musical instrument rentals, purchases and repairs, tuning, storage, music scores etc. Liaison with the Campus Operations Team to ensure efficiency and effectiveness of use.
- Coordination of our visiting LAMDA Drama teachers’ timetables and associated logistics.
- Coordination of external examination sessions in ABRSM and Rock School for Music; LAMDA for Drama.
- Regular liaison with the Enrichment Team on behalf of the Performing Arts to raise our profile and ensure a unified approach in all communications, promotion, publicity etc.
Key Tasks:
- Logistics, organisation, communications, performing rights and publicity for Performing Arts events: these include our ‘Try an Instrument’ event, Jazz Evening, Christmas Concert(s), Music Festival, Summer Concert(s), as well as Drama productions, the ISTA Festival Musical Theatre Productions.
- Annual scheduling of Instrumental Music lessons and room allocations to start in September then efficient processing of new applications and changes (in liaison with teachers, parents and students) throughout the year.
- Liaison with ABRSM and Rock School music examination boards, our visiting instrumental teachers, the school, parents and students, to schedule and organise examination sessions in Classical and Contemporary music performance as well as music theory.
- Liaison with English Youth Theatre regarding LAMDA Drama lessons and examinations.
- Liaison with ISTA regarding Drama Festival bookings, including follow up with parents, staff and external parties.
- Establishing, reviewing and updating a range of systems and procedures, documentation and databases as required, including budget, accounts, orders, music scores and stock.
- Handling general enquiries from students, parents and staff, as well as our visiting Instrumental Music teachers and Drama teachers. (This is a client facing role).
- Work with the trips coordinator to plan, organise and oversee the logistics of Performing Arts trips.
- Organisation of travel/accommodation/catering for Music or Drama visitors – examiners and practitioners.
- Communication of Health and Safety Policy to members of the team including visiting teachers.
- Any other reasonable request from the Faculty Leader of Performing Arts.
- Occasionally attend meetings and events during evenings and weekends if required in relation to the role

Skills and experience
- Excellent IT skills (Excel and MS Word essential)
- Excellent communication and interpersonal skills. The ability to work constructively with a wide range of people and as part of a team.
- Excellent logistic, coordination, time management and administrative skills
- A highly organised, pro – active approach, paying attention to detail
- A very good level of English (French and/or Dutch would be an asset)
- Ability to draft communications and programmes in English to a high standard
- Ability to show initiative and review systems and procedures to constantly improve
- Flexibility to work outside of school hours for concerts, performances and other evening events.
Qualifications and experience
- Relevant Bachelor level and/or or equivalent by experience
- Minimum 4 years in a similar administrative role
