We are seeking a detail-oriented and proactive Legal Compliance and Data Protection Administrative Coordinator to support the school’s Human Resources and Finance department in ensuring full compliance with Belgian employment legislation, GDPR regulations, and internal policies. The Legal Compliance and Data Protection Administrative Coordinator supports the school’s adherence to regulatory requirements, internal policies, and best practices in data protection.

Reports to: The HR Director and the Finance & Operations Director

Key Responsibilities:

  • Legal Compliance
  • Monitor and support compliance with Belgian employment and data-related legislation and ensure internal policies and practices remain compliant.
  • Assist with contract reviews, vendor agreements, and due diligence checks.
  • Support the visa, work permit, residency and expat processes for international staff in collaboration with legal partners.
  • Coordinate preparation of documentation required for audits, inspections, or legal consultations.
  • Liaise with external legal advisors as needed and assist in implementing recommendations.
  • Data Protection (GDPR)
  • Act as the main point of contact for GDPR compliance.
  • Ensure proper processing, storage, and retention of data in accordance with GDPR and school policies.
  • Maintain and update data registers and data protection impact assessments.
  • Promote awareness and good practices around data protection through training and internal communication.
  • Administrative Coordination
  • Maintain and organise all compliance and data protection documentation.
  • Draft, review, and maintain legally compliant employment contracts, amendments, and related documentation.
  • Help develop and update school policies, forms, and internal procedures related to compliance.
  • Coordinate compliance training sessions for staff, including scheduling and attendance tracking.
  • Support internal reporting and risk management documentation under the guidance of HR and Finance.
  • Ensure confidentiality and integrity of all compliance-related records and processes.
  • Provide general administrative support to the HR and Finance department.

Required Qualifications and Skills

  • Degree in law (or equivalent legal qualification) with a strong focus on labour law and/or data protection.
  • At least 3–5 years of experience in compliance, legal administration, or data protection roles.
  • Good understanding of GDPR and Belgian employment law.
  • Strong administrative and organisational skills with excellent attention to detail.
  • Ability to handle sensitive information with discretion.
  • Dutch as a mother tongue is required; fluency in English is also essential. French is a plus.
  • Experience in an international or educational setting is an advantage.
